Booking Terms And Conditions For Our Services At Deks Uganda Safaris. Before you book a safari with us, kindly take the time to review our booking terms and conditions.
Using all of our Uganda, Rwanda, and Kenya data, we carry out our terms and conditions. When you confirm a safari with us, it means that you have read, comprehended, and agreed to all of the terms and conditions listed below to prepare for your unforgettable wildlife safari adventure tour.

(1). BOOKINGS – Booking Terms & Conditions
Following an itinerary, we offer transportation, reservations for lodging, restaurant meals, excursions, and other services.
To the best of our knowledge and based on the most recent information available, we have provided all information detailed in client itineraries. We disclaim any responsibility for information that has been altered by third parties or for any glaring typographical errors.
We require your full name as they appear on your passport, your nationality, and the passport number to book flights and gorilla permits.
Before we confirm an African safari, the client must let us know about any preferences and unique requirements of the participants, e. g. medical needs, dietary needs, disability-related requirements, and any other needs. We’ll try to accommodate your requests.
Until confirmed, none of the African safari packages are guaranteed and are subject to availability. Due to the limited capacity of many of the lodges and hotels we offer, it is crucial to book well in advance of your intended trip.
If you decide to change any aspect of your reservation, we will, if it is practical and possible, make the desired adjustment and confirm it. We reserve the right to impose an amendment fee that is proportionate to the actual expenses; this fee will be added to the final invoice.
Chimpanzee tracking is prohibited for children under 12 and gorilla trekking is prohibited for children under 15.
In the event of unforeseen events before your arrival, we reserve the right to modify and re-adjust the tour schedule, transportation, lodging, and services listed in the itinerary. The client will be informed as soon as possible of any changes to the itinerary.
(2). PRICES.
All meals as specified, overnight accommodations in hotels, guesthouses, tents, or lodges, sightseeing as specified in the itinerary, park entrance fees, ranger fees, airport transfers as needed, ground transportation, English-speaking driver/guides, and bottled mineral water in the vehicle are included in the prices quoted for the various safaris unless otherwise specified.
The following expenses are not included: domestic and international airfare, passports, visas, beverages other than the mineral water offered in the vehicle, tips and gratuities for the tour guide and lodging staff, laundry, travel insurance, porters, and other items of a personal nature.
Should there be a change in the exchange rate or an increase in the price of any tour component, we reserve the right to change the prices at any time. However, the company will make every effort to keep any increases to a minimum.
(3). Durchführung Of The Safari/Tour.
You can get up close and personal with wild animals in Africa by going on a safari. Wild animal attacks have never happened and are extremely unlikely, but no trip to the African wilderness can ensure this won’t happen. Always abide by the safety precautions given to you by your guide or the camp staff, particularly when moving to and from your tent, hotel, Banda, or lodge, and while participating in game activities while on your trip. The majority of hotels, safari camps, and lodges are not fenced, so animals are free to roam around the lodges; therefore, we will not be held liable in the event of any incident or injury.
A gorilla or chimpanzee permit ensures that customers can locate the subject primates, but it does not ensure that they will be visible. When possible, lodging is based on twin or double beds in a tent or banda with a private bathroom. With the payment of a supplement fee, single rooms might be available, though availability isn’t always guaranteed.
The option to substitute hotels of equal or higher caliber is reserved by us. In the absence of a hotel of an equivalent standard, we may suggest a hotel of a higher standard or substitute a hotel of higher quality (surcharges may apply).
Depending on the itinerary’s requirements, the mode of transportation will vary depending on the number of passengers and the route taken. Although every effort is made to ensure that the vehicles are provided in drivable condition, no responsibility can be accepted for a puncture, breakdown, damage, or any delays brought on by poor road conditions.
Your tour will be greatly enhanced by our knowledgeable English-speaking drivers and guides, who are also the only ones permitted to operate our fleet of vehicles. The driver’s decision is final on all issues, including the path taken.
In the event of unforeseen circumstances, such as road closures, bad weather, issues with National Parks or hotels, and security considerations, we reserve the right to alter any route or arrangement, cancel the operation of any scheduled tour, or vary the safari services in any way. When circumstances allow, alternative arrangements will be made in such situations.
We reserve the right to outsource all or a portion of the services that were agreed to be provided to subcontractors.
We reserve the right to prevent anyone from joining or continuing a tour if, in our judgment or that of any other person in authority, the participant acts in a way that endangers, threatens, or inconveniences the third party, endangers property, damages the environment, or harms an ecosystem. No refunds will be given, and we won’t be responsible for any costs incurred as a result of the termination.
(4). Payment – Booking Terms & Conditions
Only upon receipt of a 30 percent deposit of the basic program rate will all tours be reserved and confirmed. To reserve a gorilla permit, the full permit fee must be paid in advance.
Unless otherwise specified, the remaining balance of the payment must be made no later than 42 days before the safari.
Bookings made with less than 42 days to go before an arrival date require full payment at the time of confirmation.
Bookings may be canceled if payment is not made following the aforementioned terms.
Before the start of the safari, payment may be made with a VISA credit card, cash, or bank transfer. It should be noted that payments made with a VISA credit card incur a 30.5 percent service fee. At least two months before the start of your safari, credit card transactions must be made. Unfortunately, traveler’s checks are no longer recognized.
The client is responsible for paying all fees associated with international transactions (or a 3 point 5 percent service fee in the case of credit card payments).
(5). Refunds And Cancellations.
The following cancellation fees are applied to both individual and group tours and are calculated after gorilla and chimpanzee permits, flights, and other logistical items are subtracted. These fees are paid directly to governments and other service providers and are not refundable following the terms and conditions of the booking.
If there are any refunds after paying for the aforementioned items, the following cancellation percentage charges will be applied:
- 30% of the total amount is refundable if canceled 90 days or more before arrival.
- 60 days or less before the arrival date: 40% refund (60 percent will be charged).
- 20% refund (80% will be charged) if cancellation is made between 59 and 30 days before arrival.
- Zero percent refund (100 percent will be charged) for cancellations made between 29 and the day of arrival.
- We reserve the right to deduct all out-of-pocket costs from the amount received.
- No refunds are available for gorilla permits or airline tickets.
Since this is a direct policy of the Uganda Wildlife Authority and Rwanda Wild Life Authority, there will be no refunds for gorilla trekking permits.
No refunds will be given for any unused services, late arrivals, or no-shows from any tour participants.
Any cancellation requests must be submitted in writing and take effect as soon as we receive them.
The amount of any pre-paid money refunds will depend on the cancellation penalties assessed by hotels and lodges.
We regret that we are unable to reimburse any costs or losses associated with cancellations or rescheduling, and any related expenses, including those to our service providers, will first be deducted from any prior deposits paid by the clients.
(6). Complaints.
We’ll work to make sure the company goes above and beyond in all aspects of the tour arrangements. However, to keep raising the caliber of the service, suggestions are greatly valued.
If you have any complaints while traveling, you must bring them to the attention of the company’s representative, agent, or service provider right away. They will try their best to resolve the situation. If the issue is not resolved to the client’s satisfaction, the complaint must be made in writing and submitted no later than 30 days after the tour is over.
Liability for any complaints that are not reported following the aforementioned procedure cannot be accepted.
(7). Liability – Booking Terms & Conditions
Please take note that your booking is accepted on the condition that you come on vacation entirely on your initiative to take the African Safari given that there are some inherent risks associated with adventurous travel. Any event over which we have no influence is not subject to any liability on our part.
Deks Uganda Safaris Ltd will not be held accountable for acts of nature, fire, acts of government or other authorities, wars, civil unrest, riots, terrorist attacks, strikes, thefts, pilferage, epidemics, quarantines, dangers, incidents involving water, land, and air travel, incidents involving wildlife, and other similar acts or incidents outside of its control.
Every effort will be made to ensure that all arrangements and services provided as part of the African safari are carried out as specified and in the most effective manner possible. Even though every supplier is chosen with the utmost care, the company has no direct control over how those suppliers provide their services, and as a result, we cannot be held responsible for their mistakes or negligence.
We disclaim all responsibility for any loss, harm, or damage of any kind, whether to people or property.
We cannot promise to see wildlife or game because it is a privilege to observe animals in their natural habitat. When viewing the animals, you must exercise caution and carefully adhere to the directions given by the wildlife rangers or your driver guide.
While every precaution is taken, Deks Uganda Safaris is not liable for the direct or indirect costs associated with lost or damaged luggage or other personal belongings.
To the fullest extent permitted by law, these terms and conditions govern your relationship with Deks Uganda Safaris Limited (the company), to the exclusion of all other terms and conditions. No employee, representative, or agent of the company may change the terms and conditions unless the change is approved in writing by an authorized officer of the business. A company officer with authority must make all decisions and handle all situations that fall under its purview. The Company retains the right to outsource all or a portion of the services.
